TL;DR
When people think about compliance in staffing, they often imagine a checklist of documents and signatures. In reality, the process is far more involved. At Tandym, compliance is part of the strategic foundation that helps us build trust, maintain quality, and create smooth onboarding experiences for both clients and healthcare professionals.
As part of the Compliance team, my role is to make sure every requirement is properly verified, documented, and tracked before a healthcare professional begins an assignment. From credential checks to appointment coordination, our work helps ensure that every placement meets both client expectations and Tandym’s internal standards.
In this article, I want to walk through what our compliance process really involves, why it matters, and how our team works behind the scenes to support both clients and healthcare professionals.
Our Compliance team manages every requirement needed to satisfy both client expectations and Tandym’s internal standards.
This work includes:
Compliance is not simply about collecting documents. We review, validate, and track every piece of information carefully. Credentials are monitored throughout the duration of an assignment so clients can be confident that requirements remain current.
Many people think of compliance as something that can be checked off once and forgotten. In reality, it’s an ongoing responsibility that reflects how seriously we take our relationships with both clients and healthcare professionals.
Our goal is always the same: to ensure that every professional we place is fully qualified and properly vetted.
One of the biggest misconceptions about healthcare staffing compliance is that it’s a simple, one-time task, something limited to running a background check or scheduling a drug screen. In reality, the process involves far more coordination and oversight. Even something that seems straightforward, like scheduling a medical appointment, often requires aligning candidate availability, vendor services, and client start dates. Our team stays proactive throughout the process to address challenges early and keep onboarding timelines on track.
When a healthcare professional begins the onboarding journey with Tandym, our compliance process follows several structured steps:
One of the most critical parts of this process is reviewing documentation carefully to confirm that it meets client expectations. Our team always looks for discrepancies or red flags to reduce risk for both Tandym and our clients.
Healthcare compliance is rarely one-size-fits-all. Program and site-specific requirements vary widely in their requirements for background checks, fingerprints, medicals, and training. In some cases, even facilities within the same healthcare network may have slightly different expectations.
To stay organized, our team relies on detailed internal checklists and clearly defined requirement agreements. These tools help ensure we understand exactly what is needed for each assignment without having to track down answers during onboarding.
Clear internal communication is also critical. Our team regularly collaborates with colleagues to make sure every requirement is handled correctly.
Compliance is never handled in isolation. Our team works closely with several other groups within Tandym, including:
Staffing Managers help connect us with candidates and assist with follow-ups when documentation or appointment confirmations are needed.
Account Managers and Account Executives keep clients informed of onboarding progress and notify them of any updates that could impact start dates or credentialing timelines.
This collaborative approach ensures that everyone stays aligned and helps prevent unnecessary delays.
Compliance processes must evolve over time as client requirements and healthcare regulations change.
One improvement we recently implemented involved creating two live Microsoft Forms used to track and update client requirements for Nursing and Allied roles. Account Managers help maintain these forms in line with client feedback and updates.
I like to think of this system as a “compliance menu.”
It clearly outlines the services we can manage on a client’s behalf, from sanction checks and background screenings to employment verification. It also creates a record of requirement updates so we can track changes and ensure that nothing is overlooked.
Continuous improvement helps us stay efficient while maintaining accuracy.
Although our interactions with candidates are often brief and focused, trust plays an important role in the onboarding experience.
Candidates frequently rely on us for help with:
Once that trust is established, the entire process becomes smoother. Candidates feel more confident knowing they have support if questions arise along the way. Providing that support helps reduce stress during onboarding and allows professionals to focus on preparing for their new opportunity.
For clients, effective compliance management provides peace of mind as well. They know that Tandym is carefully tracking every requirement and responding quickly when new needs arise. That level of organization allows them to focus on their own priorities without worrying about credential verification or documentation gaps.
For healthcare professionals, the process provides reassurance. When we give someone the green light to begin an assignment, it means we have completed a thorough review and confirmed that they meet all requirements. Our work helps ensure that every placement starts on a solid foundation.
What makes our Compliance team unique is the level of detail and collaboration we bring to the process.
We aim to be thorough in everything we do. When new risks or process improvements are identified, the entire team is informed so we can work together to implement solutions.
One example of this proactive approach occurred when we discovered that a particular type of candidate data was not being tracked within our system. Even though it had not yet caused an issue, we immediately implemented a new tracking process within our credentialing platform. Within minutes, the system was updated and that data point became part of our compliance workflow moving forward.
Small improvements like this help us continuously strengthen our process and reduce risk for future placements.
This transparency and teamwork allow us to adapt quickly while maintaining the highest standards for credentialing and documentation.
For me personally, the most rewarding part of this work is seeing a healthcare professional successfully start a new role. Knowing that our behind-the-scenes efforts helped someone confidently begin a new opportunity is incredibly fulfilling. It also reinforces that choosing to work with Tandym is the right decision for both clients and professionals.
Compliance in healthcare staffing is far more than paperwork. It requires careful coordination, detailed verification, and ongoing collaboration across multiple teams.
At Tandym, our Compliance team works every day to ensure that healthcare professionals are fully prepared and that clients receive qualified, thoroughly vetted candidates.
By staying proactive, organized, and collaborative, we help create onboarding experiences that build trust and confidence for everyone involved.
